Head Start Childplus Procedure Guide

Hey, I was just wondering how everyone is using Child+ during the acquisition of the ERSEA documents. Aside from the permanent files that have to be paper files we have gone completely paperless and I was wondering if there were any other ideas that I could use to further what our program is doing. And if anyone would like to know how we have gone paperless (including signatures from parents, staff, and supervisors) just let me know and I will post more detailed info as to how we did this. The whole intake process now takes less than 30 minutes including entering all of the info into Child+. I am so sorry that it has taken me so long to respond. There are a couple of things that you need to know before I go into the paperless process.
We are still required to maintain a paper copy of the permemant file for each child. The paperless process is in obtaining all of the ERSEA documents. Here is how we went paperless: 1. We converted the paper documents (application, selection points, release of information, etc) into an electronic version. This means we are able to type right onto the documents and save/edit them electronically.

We purchased the Microsoft Surface Pro 3 with Adobe Acrobat (not the reader). The reason we do this is very easy. We can go out to the family's house and fill out all of the documents with the family electronically. Then Adobe Acrobat allows us to have the family sign the documents electronically. Then we can attach the documents into ChildPlus.net with the child's file.
This means that instead of sending documents all over the place you just need to inform the people who are in charge of that case that the child is being enrolled and then they can print out the documents that they need (if any, or they can just view what they need to see) in their own office. This will increase your security because you don't have sensitive documents being carried around that can be lost or stolen because you can upload the documents in your office or (this is what I do) you can carry a Jet Pack (portable personal hotspot from your cell phone provider) and upload the documents while you are in the families home. If you have a wand scanner you can scan any needed documents (birth cert, proof of income, vaccination records, etc) and attach them in ChildPlus without leaving the families home. This also means that you don't have copies of those sensitive documents just sitting around. They are all inside a password protected database.
How cool is that.
